The King's Daughters office staff maintains files, mailing lists, databases and financial information. The staff is responsible for enforcing KD policies, federal and state laws governing non-profits, contractual agreements and any other legal policies to which The King's Daughters or the Circle may be accountable. THE ROLE OF THE KD OFFICE (page 32, KD Policy Manual) The KD staff should be informed from the very beginning of each Project. The Administrative Assistant of The King’s Daughters will serve as staff Liaison for Circle Projects. Staff members can assist Circles in developing procedures, forms, and budgets to facilitate more accurate financial record keeping as well as assist with financial transactions, provide sample invoices, loan cash boxes and advise Project Chairs as needed. The office maintains files, mailing lists, databases and financial information. The staff is responsible for enforcing KD policies, federal and state laws governing non-profits, contractual agreements and any other legal policies to which The King’s Daughters or the Circle may be accountable. This may include ABC permit requirements, raffle regulations, insurance coverage, etc. The staff will oversee correspondence to ensure consistent, professional and accurate presentation of information; this includes letters and thank yous to volunteers, sponsors and vendors, information to other Circles, bulk mailings, etc. All correspondence should be generated by the Project Chairs or Circle Leaders. The KD staff must review all correspondence before allowing use of The King’s Daughters letterhead or name and logo. The KD office provides publicity in the Circular and on the KD website and can assist the Circle with a publicity plan for the project when needed. The Director of The King’s Daughters also serves as Liaison between KD Projects and the CHKD Public Relations Staff. The office can assist with various print services including: flyers, tickets, coloring sheets, bookmarks, posters, programs, brochures, signage, etc. The staff may provide assistance with layout design and content, or may seek assistance from CHKD Office of Public Relations if necessary. The standard lead times required are up to two weeks. The office may advise use of outside printer when necessary.
